Travel lead managementEvery enquiry, answered first.
Enquiries from your website, your ads, WhatsApp and your partners arrive in one desk, with an owner and a response clock from the minute they land. Your team always knows who to call next, and the quotation starts where the enquiry left off.
The agency that replies first usually gets to quote.
A traveller asks three or four agencies at once. Most desks lose that race before it starts: enquiries scattered across phones and inboxes, nobody sure who is calling back, and follow-ups kept in someone’s head.
WhatsApp, inbox and a notebook
- Enquiries spread across WhatsApp, Instagram DMs, e-mail and the website inbox
- Nobody sure who is calling back, or whether anyone did
- Follow-ups on sticky notes and in somebody’s memory
- “We’ll travel next year” written down once, and never seen again
- No idea which ad or partner actually brings bookings
Wolkcle
- Every channel lands in one desk, tagged with where it came from
- An owner and a response clock from the minute it arrives
- Every open enquiry carries a dated next step
- A postponed trip comes back on the day you set
- Enquiries, bookings and revenue reported by source
From first message to booked trip, in four steps.
The desk follows the way a good consultant already works, and keeps score so nobody has to.
An enquiry form that goes wherever they find you.
Publish a form in your agency’s name in a few minutes. A traveller fills it in on their phone, and the enquiry is on your desk with its source and an owner before they have put the phone down.
One link, every channel
Share it on WhatsApp, put it in your Instagram bio, print the QR code, or embed the form on your website.
Your questions, real fields
Pick what to ask and add up to 15 questions of your own. Every answer lands on the enquiry, ready to quote from.
Bots kept out, quietly
Spam is stopped before it reaches your desk, without puzzles for the traveller to solve.

Ask the desk the way you think.
Type a name, or a phone number in any format, or combine filters in a few words. The list and the pipeline board answer the same question.

Your morning starts with what’s slipping.
Six counts tell the team where the day’s work is before anyone opens a list. Tap one, and the desk shows exactly those enquiries.
Late replies come first
No response yet and Follow-up overdue lead the desk. The enquiry nobody has answered is the one you lose today.
Each person, their own desk
What everyone sees follows their role, so a consultant works their own enquiries while a manager sees the whole agency.
On the home dashboard too
New enquiries, reply speed and conversion for the period, beside the pipeline as it stands right now.
See where your business is, not just who called.
Seven stages side by side, each with its count and the budgets in it. Drag an enquiry to move it on, or do the same from the keyboard.
Won is earned, not dragged
An enquiry closes as won when its quotation becomes a booking. Nobody drops a card on Converted by accident.
Lost asks why
Closing an enquiry as lost needs a reason, so “why are we losing?” has an answer at the end of the month.
One question, two views
Search and filters narrow the board exactly as they narrow the list, so switching views never changes the question.
A postponed trip isn’t a lost one.
Travel comes round every year, and a traveller who said “next year” is the easiest booking you will ever make. Close the enquiry with a date to come back to it, and Wolkcle remembers.
- A date is suggested from the reason: a year for a postponed trip, six months for changed plans, three when the timing was wrong.
- On that day it’s back on the owner’s desk, with every call and note from before.
- “Not interested” and “wrong number” end the chase. No follow-up is scheduled after a no.

Rules that keep enquiries from slipping through.
The desk holds every enquiry to the same standard, whoever is working it and however busy the day gets.
Never without a next step
An open enquiry always carries a dated follow-up. Wolkcle suggests one, and you can change it.
Unanswered calls count
Every attempt is recorded. Three calls nobody picked up is a different decision from no calls at all.
Repeats flagged, never merged blind
Families share phones and e-mails, so a match is shown to you, never acted on by itself.
An enquiry isn’t a customer
Your address book holds the people you add, not everyone who asked once.
Every hand-off on record
Who owned an enquiry, who passed it on, and whether it came by rotation or by hand, all kept.
Consent respected
A traveller who opts out of messages is honoured, even on a reply that was already queued.
Know which channel actually pays.
Enquiries, bookings and revenue for every source, side by side, so the next rupee of ad spend goes where the bookings come from.
Received isn’t the same as enquiries
Spam, repeats and arrivals waiting for review are counted apart, so the gap isn’t mistaken for lost business.
No rate from a handful
Three enquiries and one booking isn’t a 33% conversion rate. A rate appears once a source has ten.
Currencies kept apart
A source that earned in rupees and dollars shows both, never one made-up total.
| Source | Enquiries | Booked | Rate | Revenue |
|---|---|---|---|---|
| Facebook & Instagram ads | 118 | 9 | 7.6% | ₹14,20,000 |
| Enquiry form | 64 | 8 | 12.5% | ₹11,85,400 |
| Google Ads lead forms | 41 | 3 | 7.3% | ₹4,10,000 |
| WhatsApp Business | 22 | 3 | 13.6% | ₹3,68,000 |
| Partner referrals | 7 | 2 | Too few | ₹3,60,000 |
A rate appears once a source has 10 enquiries. Revenue is what each booking was worth when it was won.
What agencies ask first
Ten kinds of source: a hosted enquiry form you can share as a link or embed, your own website’s backend, Google Ads lead forms, Facebook and Instagram lead ads, WhatsApp Business, e-mail, website chat and call-tracking handoffs, partner referrals, and a one-off CSV import. How many you connect at once depends on your plan. A walk-in or a phone call can be captured by hand with just a name and one number.
Each source decides. Enquiries can go into a shared pool, to a fallback consultant, or in turn across the consultants you choose. Anything sitting in the pool shows on the desk as Unassigned, so it never ages out unnoticed, and every hand-off is kept on the enquiry’s record.
The time from the enquiry arriving to your team’s first outgoing contact, whether that is a call, a message or an e-mail, and whether or not anyone answered. You set the target, in minutes or in your working hours with holidays left out.
No. An arrival with the same phone number or e-mail as an existing enquiry is flagged for you to review, because families share both and one traveller can plan two different trips. You decide whether to keep it separate or merge it into the earlier enquiry, which keeps its owner, calls and quotations.
When the quotation made from the enquiry becomes a booking, the enquiry closes as won by itself, with the booking’s value. A trip booked some other way can still be recorded as won against its booking.
Yes. Import them from a CSV file, up to 300 rows at a time. Imported enquiries keep their dates and don’t start a response clock.
No. An enquiry isn’t a customer. You add someone to your address book when you’re ready, and if they are already there, a quotation made from their enquiry finds them by phone or e-mail.
Answer your next enquiry first.
Connect your enquiry form, give every lead an owner, and let the desk tell your team who to call next.
